You are writing these at midnight, aren’t you.

Review replies get written after closing, on a tired head. And the wrong wording does not just fail — it actively works against you.

The more you apologise, the guiltier you look.

A reply stacked with apologies tells the reader that something genuinely bad happened. The volume of apology is read as a signal of how serious it was.

The same paragraph, over and over.

Paste one template under every review and the template itself becomes the message: nobody read this. It is obvious the moment they line up.

Thirty minutes for one reply.

Does it sound defensive? Does it sound cold? Three rewrites later, it is past midnight.

02

Three steps. That is the whole thing.

STEP 01

Paste the review

Copy the text and drop it in. With the Chrome extension you can pull it up without leaving your review dashboard.

STEP 02

Pick one of three

Formal, Warm and Brief arrive together. For 1 and 2 star reviews, switch to low-rating mode and the structure changes underneath.

STEP 03

Edit, then you publish

Send it as is, or rewrite it first. ReplyCraft never posts automatically. You press publish.

THE REVIEW YOU RECEIVED
★☆☆☆☆The staff were awful. I understand you were busy, but the server never once looked at me while taking the order. Food was average. Never going back.
FORMAL

Thank you for taking the time to write, and I am sorry your visit went this way. Not making eye contact while taking your order is on us, and there is no version of a busy evening that excuses it. We have changed the floor layout during peak hours, and taking an order now means stopping and facing the guest. I am sorry the food did not land either.

WARM

Thanks for coming in — and I’m sorry we made it a bad night. Taking an order without looking at you is entirely our fault. Our staff had fallen into the habit of watching their hands when it gets busy. From this week, “stop and look up when you take an order” is a rule for everyone here.

BRIEF

I am sorry. Not making eye contact while taking your order is our failure. We have changed the staffing on the floor during peak hours, and orders are now taken with full attention. Thank you for telling us.

THE RULE BEHIND EVERY REPLY REPLYCRAFT WRITES

03

Three things a general writing tool will not do.

A real structure for bad reviews

One and two star reviews break generic generators. Low-rating mode apologises exactly once, then spends the remaining sentences on what happened and what changed. It actively avoids the phrases that read as excuses.

It learns how you write

Feed it your past replies and it keeps your phrasing and sign-off intact (Master plan). A voice that suddenly changes reads as false in its own way.

It will not publish for you

The AI stops at the draft. Hand the publish decision to a machine and eventually one reply goes out that you cannot take back. The last move belongs to a person.

Questions people actually ask

Does ReplyCraft post replies automatically?

No. ReplyCraft writes the draft and stops. You decide whether it goes out. We do not plan to change that.

Does it work for 1 and 2 star reviews?

That is what it was built for. Low-rating mode apologises once, then spends the rest of the reply on what happened and what changed, instead of stacking more apologies.

Which review platforms does it support?

You paste the text, so any platform works. It is tuned for Google Business Profile, Yelp, TripAdvisor, Booking.com and Trustpilot.

Is my review data used to train a model?

No. Text you paste is never used to train a model. The privacy policy spells this out.

Can I cancel any time?

Yes, from the dashboard. There is no proration. You keep your plan until the end of the current period, then return to Apprentice.

Can I send the output as is?

Fill in your business name, dates and anything specific you actually did. Everything else is written to be sendable, but we recommend reading it once before you publish.
